Privacy Policy
Last updated: 15 October 2026
This Privacy Policy explains how Apex Motorsport handles personal information when you use this website, call the karting center, email us, or send a booking enquiry. It is written in plain language so you can see what we collect, why we collect it, who can read it, how long we keep it, and how you can ask us to correct or delete it. Read it together with the Cookie Policy, the Terms & Conditions, and the Disclaimer. This page describes our practices. It is not a substitute for legal advice.
Who we are
Apex Motorsport is a karting center at 43 Bradford Rd, Bedfordview, Germiston, 2008, South Africa. You can reach the center by phone on +27 11 743 2772 and by email at [email protected]. Privacy questions can be sent to that email address with the subject line “Privacy request”, or posted to the street address above.
In this policy, “we”, “us” and “our” mean Apex Motorsport, the operator of this website and of the karting center at that address. “You” means a visitor to the website, a person who calls or emails the center, or a person whose details are included in an enquiry about a karting session. “Personal information” means information that identifies you or that can reasonably be linked to you, including your name, email address, phone number, and the contents of a message you send us.
Apex Motorsport is the party responsible for personal information described in this policy. There is no separate membership account on the website, and there is no public user profile. If you write to us, the people who handle bookings and visitor questions at the center are the people who read the message.
What this policy covers
This policy covers the Apex Motorsport website. That includes the home page, the karting experiences page, the track information page, the driver information page, the about page, the booking enquiry page, the contact page, and the legal pages linked in the footer. It covers personal information you give us through those pages, by telephone, or by an email you send yourself to [email protected].
The policy also covers the small amount of information your browser stores locally so the cookie notice can stay closed, and the fact that pages request typefaces from Google Fonts. It covers what happens if you arrive at the site after clicking an advertisement.
The policy does not control websites that you open from a link on our pages. Footer icons open the public homepages of Facebook, X (Twitter), Instagram, and YouTube. Map links open Google Maps for the Bedfordview address. Those services publish their own privacy notices, and their rules apply once you leave this website. If a detail on one of those sites differs from this policy, follow that site’s notice for activity that happens there, and follow this policy for activity that happens here.
How the website collects an enquiry
The booking page and the contact page each contain a form. The fields ask for the details we need to reply: your name, your email address, a phone number if you want us to call you, the experience or subject you are asking about, a preferred date if you have one, a group size if you are asking for more than one person, and a message in your own words.
Submitting the form does not upload those fields to a database on this website. The page opens a draft email in the email application on your device. The draft is addressed to [email protected]. The subject line begins with “Apex Motorsport enquiry” and includes the experience or subject you selected. The body of the draft lists the labels and values from the form. The message reaches us when you send that email from your own email application. If you close the draft without sending it, we do not receive the enquiry.
You can skip the form and write to [email protected] yourself, or call +27 11 743 2772. In that case we receive the words you choose to say or type. A session is arranged when we confirm it in our reply. The form, the draft email, and a preferred date are a request. They become a booking when Apex Motorsport confirms the visit by email or by phone.
Information you give us
We collect the personal information you choose to give us. Depending on how you contact the center, that can include:
- Your name, and the name of any other person you mention because you are arranging their visit.
- Your email address, which we use to send the reply.
- Your phone number, if you type it into the form, if you put it in an email, or if you call +27 11 743 2772.
- The karting experience you ask about, such as a recreational session, an open session, a group visit, a beginners session, a track experience, or a racing format.
- A preferred date, a group size, and any timing note you add.
- The free-text message, including questions about safety, arrival, or who is coming.
- The correspondence that follows, including our confirmation, a change you ask for, and a cancellation.
If you book for a group, include only the details we need to arrange the visit. A contact name, a return email or phone number, the number of people, and the kind of session are enough for the first reply. You can add names later if we ask for them so we can prepare the session.
Please keep identity document numbers, passport numbers, payment card numbers, bank details, and medical records out of the form and out of the email. The website does not ask for those items, it does not show prices, and it does not take payment. If a session has a charge, the center agrees that with you by phone or email. Card details belong in that separate conversation only if the center asks for them through a proper payment method, and they do not belong in the website form.
Information on your device
This website does not ask you to create an account, choose a password, or sign in. There is no profile page and no saved list of past visits inside the browser.
A notice at the bottom of each page explains that the site uses local storage to remember your choice. When you press Accept, the site stores one item in the browser’s local storage. The name of that item is cookie-ok and the value is 1. Its only job is to keep the notice hidden on later visits to this website. It does not contain your name, email address, or phone number. It is stored on your device. Clearing site data for this website removes it, and the notice can appear again. Full details are in the Cookie Policy.
Each page loads the Open Sans typeface from Google Fonts. To do that, your browser contacts fonts.googleapis.com and fonts.gstatic.com and downloads the font files. Google may process technical connection data, such as an IP address, under Google’s own rules, because your browser is requesting a file from Google. We use the font so the pages display in one consistent typeface. We do not receive a copy of your Google account from that request.
Advertising and links
This website does not place its own advertising cookie and it does not run an advertising script of its own. If you reach the site by clicking an online advertisement, the advertising service that displayed the ad may already have used its own cookies or similar technologies under that service’s policy, before you arrived. Those technologies are controlled by the advertising service. The cookie-ok flag on this site is separate from them. Accepting our notice does not opt you into that service’s advertising programme, and declining to press Accept does not switch that service’s cookies off.
Social icons in the footer are ordinary links to the public homepages of those networks. They do not embed a social feed on our pages, and they do not send us a social profile while you stay here. A maps link is a search link for the address 43 Bradford Rd, Bedfordview, Germiston, 2008. It opens only if you choose it.
How we use personal information
We use personal information for these purposes:
- To read your question and reply by email or phone.
- To confirm, suggest another time for, or decline a requested karting visit.
- To tell you what to expect at 43 Bradford Rd, including arrival, the kind of session, and safety points you asked about.
- To prepare for the number of people you told us about.
- To keep a record of what was requested and what was confirmed, so a later question about that visit can be answered from the same thread.
- To handle a change or a cancellation of a request or of a confirmed visit.
- To protect the mailbox and the website from misuse, including messages that are unrelated to a visit.
- To respond to a privacy request, such as a request for a copy or a correction.
We use the details for the visit you asked about. We do not sell personal information. We do not rent enquiry lists. We do not pass your message to advertisers so they can build a profile of you. We do not publish your enquiry on the website. We do not use the cookie-ok flag to recognise you for advertising.
We do not send a newsletter from this website. If you want news about a later visit, ask in your message and we will reply about that visit. A reply about your own enquiry is part of the conversation you started. It is not a separate marketing list.
Legal basis under POPIA
Where the Protection of Personal Information Act, 2013 (POPIA) applies, we process enquiry details because you asked us to contact you and because we need those details to answer and to arrange a visit you requested. The purpose is visible on the form and in this policy: to handle a karting enquiry for the center in Bedfordview.
If we keep the email after the visit, we keep it so we can deal with a follow-up about that same visit, such as a question about what was agreed or a request to correct a detail. We also keep information where a law requires us to keep a record. When the purpose has ended, and no law requires us to keep the record, we delete the message or remove the details that identify you.
You can object to processing that is not required to complete a visit you still want. If you object before we have replied, we may be unable to arrange the session, because we need a way to reach you. We will explain that if it applies to your request.
Who can see the information
Enquiry emails arrive at [email protected] and are read by people at Apex Motorsport who handle bookings and visitor questions. Phone calls to +27 11 743 2772 are answered by the center. Access to the mailbox is limited to people who need it to run the karting center and to answer privacy requests.
An email provider may host that mailbox, and a hosting provider may serve the website files. Those providers process information so the mailbox and the site can operate. They are not invited to use your enquiry for their own advertising. We do not sell the enquiry and we do not pass it to an advertiser as a lead list.
We share a detail when the law requires it, or when it is needed to protect a person from harm at the center. If you ask us to contact another person about your booking, we share only what you asked us to share so that person can join the visit.
If a provider stores mail or handles a connection from outside South Africa, that processing may take place in another country. The purpose remains the same: to deliver your message and our reply. You can ask us which provider hosts the mailbox, and we will tell you what we use at that time.
How long we keep information
We keep enquiry emails, replies, and notes of phone calls for as long as we need them to arrange the visit and to deal with questions about it. A request that never becomes a visit is kept only while it is still useful for that unanswered conversation, and then deleted or stripped of identifying details. A confirmed visit may be kept for a longer period so we can answer a follow-up about what was agreed.
We do not keep information “just in case” for a new purpose that you did not ask for. The cookie-ok flag stays in your browser until you clear site data. We cannot delete that flag from our side, because it is stored on your device.
Security
Email travels through your email provider and through ours. Any method of sending a message can be intercepted or misaddressed, so send only what you are comfortable putting in an email. Check that the draft is addressed to [email protected] before you send it. We limit mailbox access to people who answer enquiries and run the center. Please use a current browser when you view the site, and avoid sending a privacy request from an address you share with people who should not see the reply.
Your choices and rights
You can ask Apex Motorsport for these things:
- Confirmation of whether we hold personal information about you, and a copy of the enquiry and reply we hold.
- Correction of a name, email address, phone number, date, or group size that is wrong.
- Deletion of an enquiry when we no longer need it for the visit or for a legal duty to keep a record.
- A restriction, where you want us to hold a record only while a dispute about its accuracy is resolved.
- An objection to processing that is not required for a visit you still want us to host.
Send the request to [email protected] with the subject “Privacy request”, or post it to Apex Motorsport, 43 Bradford Rd, Bedfordview, Germiston, 2008, South Africa. Include the email address or phone number you used so we can find the right thread. We may ask a short question to confirm that the request comes from you, or from a person who is allowed to act for you, before we release or delete the record. We will respond within a reasonable time.
Clearing cookies and local storage in your browser removes the cookie notice flag. It does not delete an email you have already sent. To delete that email from our mailbox, use the privacy request above.
If you believe your personal information has been handled in a way that breaks POPIA, contact us first so we can look at the enquiry and correct it. You may also contact the Information Regulator of South Africa. The Regulator is a public body. Its contact details and complaint process are published on its own website at inforegulator.org.za.
Children
A parent or legal guardian may enquire about a karting visit that includes a child. Send the child’s information only if you are the parent or guardian, or if that adult has asked you to make the enquiry. Give us the adult’s contact details so the confirmation goes to a person who is responsible for the visit. If we learn that we have received a child’s information without a proper enquiry from a parent or guardian, we will delete it and, where we can, tell the sender why.
Participation on the day still depends on the briefing at the center. An email enquiry does not decide, by itself, that a particular child will drive.
Accuracy of what you send
We reply to the address and phone number you give us. If either is wrong, the confirmation may not reach you, and the time you hoped for may not be held. Tell us promptly if a detail changes. You can do that by calling +27 11 743 2772 or by emailing [email protected] and quoting the earlier message.
Cookies
The Cookie Policy describes local storage, Google Fonts, social links, map links, and advertising cookies that an ad service may have set before you arrived. In short, this website stores one local flag so the notice stays closed, and it does not use that flag to advertise to you.
Changes to this policy
We update this page when the website or the way we handle enquiries changes. The date under the heading is the date of the latest version. The new text applies to enquiries and visits from the time it is posted. A session we have already confirmed stays on the reply we sent you, together with this policy’s rules for the information already collected. If a change affects how we use information we already hold, and the law requires us to tell you, we will contact you using the details you gave us.
Contact
Privacy requests and questions about this policy go to Apex Motorsport, 43 Bradford Rd, Bedfordview, Germiston, 2008, South Africa. Phone +27 11 743 2772. Email [email protected]. You can also use the contact page, which opens an email draft to the same address. Please use the subject “Privacy request” so we can separate it from a booking enquiry.
